Global Dashboard Privacy Notice. Wowmotive, LLC is a Virginia, USA limited liability company with its registered address at 4300 Lafayette Blvd, Fredericksburg, VA 22408, USA. Privacy contact: admin@wowmotive.com.
2. Scope
This Privacy Notice explains how Wowmotive processes information in connection with the Wowmotive Dashboard used by Customer administrators, managers, dispatch personnel, and other authorised Customer users.
3. Two Distinct Data Streams
A. Customer Administration / Account Data — information about Customer organisations and Dashboard users needed to create accounts, authenticate users, administer subscriptions, provide support, and manage access. B. Driver / Operational Data — information submitted or generated through the Customer’s use of the platform, including driver records, vehicle/asset information, trip and route information, GPS/location data, and related operational information.
4. Customer Administration / Account Data
Name and contact information; business/account identifiers; authentication and login information; user role and permissions; subscription, billing and account-administration information; support communications; and device/IP/security logs.
5. Driver / Operational Data
Driver identity and contact information; Emirates ID, passport, driver licence and company/licence information where provided; vehicle and asset assignments; trip, route, mileage and job information; GPS and geographical location where enabled; uploaded documents and incident records; voice messages and other audio submitted through in-app driver chat communications where enabled; and invoicing, payroll, and driver-wallet ledger records where enabled (earnings, balances, and payment status tracked internally — Wowmotive does not collect or store bank account or card numbers and does not itself process, hold, or transmit funds through this feature).
6. Purposes
Customer Administration / Account Data: creating and managing accounts, authentication, support, billing, fraud prevention, and legal compliance. Driver / Operational Data: fleet and driver management, dispatch and routing, GPS/location functionality where enabled, reporting and analytics, and safety/operational monitoring as configured by Customer.
7. Controller / Processor Roles
For most Driver / Operational Data processing, the Customer acts as Controller and Wowmotive acts as Processor. For Customer Administration / Account Data, Wowmotive may act as Controller for limited processing it independently determines, such as account administration, billing, security and fraud prevention.
8. Lawful Basis
Where Customer is Controller, Customer is solely responsible for determining and documenting the applicable lawful basis and providing required notices. Where Wowmotive independently determines purposes, Wowmotive will establish the applicable lawful basis.
9. Location Tracking
Where GPS/location functionality is enabled, the Dashboard may display current or historical location information to authorised Customer users. The default location mode is active-trip/on-duty tracking; Customer may configure an always-on mode where supported. The Customer is solely responsible for ensuring affected drivers receive appropriate notices and that its monitoring has an applicable lawful basis.
10. Sharing and Recipients
Depending on the processing activity, Personal Data may be shared with or accessed by: Customer and authorised Dashboard users; Wowmotive personnel and service providers acting within their authorised roles; cloud hosting, security, communications, support and infrastructure providers; and government or regulatory authorities where legally required. Wowmotive does not control the independent actions or policies of third-party providers except as required by its own contractual and legal obligations.
11. Subprocessors
Wowmotive may use third-party Subprocessors. A current list is maintained through the Wowmotive legal portal and governed by the DPA.
12. International Processing
Wowmotive is based in the United States. Data may be stored, accessed or processed in the United States and other countries, including by authorised personnel and contractors located outside the UAE. Known service locations include Germany (Neon/AWS), the United States (Google Cloud Storage), and the Netherlands (Railway).
13. Retention
Data is retained in accordance with Wowmotive’s internal retention schedule (available upon request), Customer-configured retention settings, and Applicable Law, and is not kept longer than necessary for the purposes described in this Notice.
14. Privacy Rights
Subject to applicable law, Data Subjects may have rights concerning access, correction, deletion, restriction, objection, portability and other rights. Where Wowmotive independently acts as Controller for account, billing, security or fraud-prevention processing, requests may be submitted to admin@wowmotive.com. Where Wowmotive acts as Processor, the request may be referred to the relevant Customer/Controller.
15. Security
Wowmotive maintains commercially reasonable technical and organisational measures designed to protect Personal Data.
16. Personal Data Breaches
Wowmotive maintains incident-response procedures. Where Wowmotive acts as Processor, breach notification and cooperation are governed by the DPA.
17. Changes to this Notice
Wowmotive may modify, update, or replace this Privacy Notice at any time, at its sole discretion and without prior notice, effective immediately upon posting. Where a change is legally required to be separately notified, Wowmotive will provide the additional notice required by Applicable Law.
